Sales Audit Privacy Notice

What this notice covers

Blackridge Film operates Blackridge Sales Audit for internal sales follow-up across Blackridge Film, Protex Home Solutions, and The Auto Lab. This notice covers that integration, including its Gmail connection when enabled. It does not replace our website privacy and installation information.

Information used and why

• CRM information: contact and company details, opportunity pipelines and stages, messages, attachment information, and available call transcripts. These support conversation summaries, outstanding-quote and response checks, follow-up recommendations, and authorized opportunity-stage corrections.
• Google authorization: the connected sender address, OAuth credentials, and send-operation results. The Gmail connection requests only gmail.send to deliver internal audit emails and report attachments. It does not request inbox, contact, calendar, Drive, or mailbox-deletion access.
• Operational records: generated reports, review evidence, stage-change records, delivery status, and diagnostic logs used to operate and troubleshoot the integration.

Call transcripts and AI-generated assessments can contain errors. Uncertain findings require human review. The integration is not a customer-outreach tool.

Processing and sharing

Authorized staff receive reports. LeadConnector/GoHighLevel provides CRM data; Google Cloud hosts processing and storage; OpenAI API services analyze CRM content; and the configured email providers process report delivery. CRM excerpts sent for analysis can include personal information contained in conversations and transcripts. Gmail mailbox contents are not retrieved for AI analysis.

We do not sell information obtained through this integration or use Google user data for advertising, profiling for advertising, or training generalized AI models. Service providers receive information needed to provide the integration, not for unrelated marketing.

Our handling of Google API data is governed by the Google API Services User Data Policy and the Google Workspace user data and developer policy. We comply with their Limited Use requirements.

Storage, security, and retention

Cloud credentials are kept in Google Secret Manager. Temporary authorization credentials may be stored locally during setup. Access to credentials, CRM evidence, and reports is limited to authorized operators and services; these records are not published on this website.

Records are retained for sales follow-up, operational review, and troubleshooting. There is currently no fixed automatic deletion period for all audit records; removal is handled by an administrator. Reports already delivered to mailboxes, source CRM records, and provider backups may remain under those systems’ retention settings. No system can guarantee absolute security.

Your choices and contact

The connected account owner can revoke Gmail access through Google Account connections. Revocation stops future Gmail API access but does not erase previously sent reports or stored CRM evidence.

To disconnect the integration, request access to or correction or deletion of information, or ask a privacy question, email hello@blackridgefilm.com. We will verify the request and explain any information that must remain for legitimate business or legal reasons.

Material changes to this notice will be reflected on this page with an updated effective date.
